Walk With Tai Po is a not-for-profit community initiative that aims to bring positive energy back to Tai Po through community connection and walking. This notice explains what personal data we collect when you submit a walk, why, and how it's kept safe, in line with Hong Kong's Personal Data (Privacy) Ordinance (Cap. 486).
St. James' Settlement (聖雅各福群會), as organiser of this initiative, is the data user responsible for the personal data described below ("we", "us").
When you submit a walk, we collect: your name; your email address; your route, either as a link to your public Strava activity or as a GPS track recorded in your browser; the resulting distance, duration, and date; an optional message; and any optional photos you choose to upload. If you record a walk in-browser, your location is used only to trace that walk — recording happens on your own device and nothing is sent to us until you submit it. We also collect basic technical data (such as browser type and error logs) to keep the site running, and anonymous usage statistics through Google Analytics. Your name, email, and message are never sent to Analytics.
We use your data to review your submission, email you about its status, and send you your GPX file if it's approved. If — and only if — you tick "share publicly" when submitting, and your walk is approved, we also use your route, date, distance, message, and photos to display it on the public community map. Sharing publicly is optional and separate from submitting a walk; you choose it, and can change your mind at any time (see section 8).
We don't sell your data or use it for marketing. It is only shared with the service providers who help us run this site, strictly so they can provide that service to us: Supabase (database and file storage), Resend (sending you status emails), Netlify (website hosting), and Google Analytics (anonymous usage statistics). We may also disclose data where required by law, or to protect the rights and safety of St. James' Settlement, our users, or the public.
Your data is stored in Supabase's database and file storage, hosted in Supabase's North East Asia region infrastructure — meaning it may be stored and processed outside Hong Kong. We've chosen a reputable provider with strong technical safeguards to protect it wherever it's held.
Your submission record is not publicly accessible in our database. Uploaded photos and route files are kept in private storage and only ever served through secure, time-limited links. Our moderation tools are password-protected and used only by authorised reviewers. Only walks you've chosen to share, once approved, become visible to the public — and only the route, date, distance, and message you provided. Your email address is never shown publicly.
We keep your submission for as long as reasonably needed for this initiative — including moderation and, if approved, display on the community map — and for a reasonable period afterwards for our records, before deleting or anonymising it. You can ask us to delete your data sooner at any time.
Under the Personal Data (Privacy) Ordinance, you can ask us to: give you access to the personal data we hold about you; correct it if it's inaccurate; stop showing your walk on the public map; or delete your submission entirely. To do this, email [email protected] with your name and the email address you submitted with, or use the personal status link sent to you after submission. We will respond within a reasonable time.
This initiative is intended for the general Tai Po community. If you are under 18, please have a parent or guardian's permission before submitting a walk.
We may update this notice from time to time. The version posted here is always the current one.
